Administrative Assistant – BAKU

About the job:

Administrative Assistant performs the full range of office support, management support and secretarial tasks, providing for the smooth and efficient running of the Delegation. He/ she ensures quality and consistency of the flow of office work and information in the work unit.

Duties and Responsibilities:

  • Ensures that offices, residences and their gardens are well maintained/cleaned and furnished according to ICRC standards;
  • Ensures that the premises files are well kept and coordinated with BAR F&A Manager;
  • Ensures that standard security measures are in place for the office and residences (fire prevention measures, 3M, smoke and gas detectors);
  • Ensures all purchases related office/premises are requested and made on time;
  • Ensures all fire-extinguishers are up to date and present at the assigned places;
  • Coordinates and supports the employees under his/her supervision in their duties and personal development by coaching and advising them on internal and external training and development possibilities;
  • Do monthly entries in relevant program under the supervision of F&A Manager.
  • Other duties defined by line manager depending on situation and emergency cases.

Desired Profile and Skills:

  • University Degree and certification in relevant (preferably) area.
  • 1 to 3 years of total work experience in same area.
  • Good command of English and Azerbaijani languages, any other language locally spoken is an asset
  • Good computer literacy.
  • Good knowledge of the region.
  • Good communication and proven reporting skills.
  • Good planning, coordination and people management skills.
  • Cultural awareness and commitment to encourage diversity and inclusion in the workplace.

This is a full-time position for an employment contract of 3 months duration (may be extendable) opened to address the humanitarian needs consequent to the current escalation. The duty station is located in Baku.
