Job Title: Data and Cataloguing Administrator

Location: Azerbaijan, Onshore

A vacancy has arisen for a Data and Cataloguing Administrator as part of the Onshore Business Unit and is available for Azerbaijani citizens only.

This role will be part of the Supply Chain Team, within the Procurement Department, reporting to the Inventory Management Supervisor and Country Supply Manager.

The candidate will be responsible for ensuring all materials, equipment and services are properly catalogued in the system (as per protocol). Also responsible for engaging with the Key Users to ensure the efficient flow of materials within the SAP System. Within transition from one ERP system to another, to ensure that data is cleansed and matched one to one from one system to another.

Key Responsibilities (including but not limited to):

  • Work as a key member in the cataloguing team to ensure accurate cataloguing of all parts and related services.
  • Input and update cataloguing processes according to the PIDX, Coding matrix and other related tables and rules, to ensure the creation and maintenance of high-quality data records that can be used for Purchasing and Operational Maintenance activities in the field.
  • Review and update existing catalogue database (Materials, Equipment, Manufacturers, Vendors, etc.) in order to maintain consistent and verified data, which helps BUs and End Users for the Supply Chain processes to run smoothly.
  • Validate and challenge information received as part of cataloguing requests received from the BUs to ensure high quality data records can be created within the agreed framework. Ensure information that is uploaded is accurate to mitigate the risk to the business of incorrectly classified goods being available for selection by Operations.
  • Support BUs to receive good technical input to enhance and improve the database of material and equipment records for TURAN to achieve improved analytics capabilities to be used both for internal and external needs (e.g. contract management).
  • Ensure all coding work is actioned in a timely manner and to an excellent standard.
  • Gather, validate and add new material technical data to the SAP database as and when required. Provide technical support to BU with regard to material master data.
  • Add new vendor master data to the SAP database as and when required. Provide continual housekeeping and maintain all material and vendor master records.
  • Safeguard the business from risk identified in the export process by uploading accurate HS Coding information into the material master data record. Maintain awareness of changes in the HS process to ensure items considered to be of dual use are identified accordingly.

Requirements:

  • Bachelor’s degree (preferably with major statistical analysis component, e.g. Mathematics, Statistics, Computer Science etc.)
  • Knowledge of SCM policy, practice, procedure & principles.
  • Good communication skills.
  • Knowledge of Supply Management related systems.
  • Experience in supply chain within an Oil and Gas or large process industry (petrochemical, pharmaceutical, utilities, CPG or food) is desirable
  • Competent with SCM methodologies (desirable)
  • Well organized, proactive and a good communicator.
  • SAP Skills in supply chain related transactions are desirable
  • Fluency in Azerbaijani and English languages (both verbal and written).
  • Proficiency in Microsoft Office (SAP knowledge is desirable).
  • Experience within an equivalent role is advantageous.
