Job Title: Human Resources Information Systems and Payroll Specialist

Location: Azerbaijan, Onshore

A vacancy has arisen for a Human Resources Information Systems and Payroll Specialist and is available for Azerbaijani citizens only.

Human Resources Information Systems and Payroll Specialist is responsible for the preparation and process of monthly payroll reports for both national and international workforce of the Company and making sure that the timetables of working hours of individuals and personnel are submitted to Finance Department at the appropriate date and accurate manner, and responsible for assisting with changes made within the HR Information System (HRIS) and HR processes, maintaining the organization structure within the HRIS; and providing support to HR Team as required.

Key Responsibilities (including but not limited to):

  • Ensure all work is carried out in accordance with Company Management Systems and Procedures and relevant international/ local legislation and where applicable client procedures and monitor changes in international/ local and taxation regulations.
  • Responsible for the coordination efforts between Human Resources, Finance, Operations and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. monthly worktables, overtimes, promotions, leave balances, head count, benefits and etc.)
  • Responsible for computing, withholding, and deductions records associated with net earnings.
  • Setup each employee’s work schedules and process the valid changes.
  • Ensure all contractual amendments are entered onto the system promptly and accurately.
  • Perform daily payroll related operations as required.
  • Process accurate and within the timeframes set a year-end/month-end reporting when necessary.
  • Estimate shift payments, pay increases, overtimes, and input of a new starters, leavers and changes onto the HR databases.
  • Supports the annual calculation of work hours by working closely with HR Department and Management in analysis of payroll costs by departments.
  • Carry out general administrative duties such as photocopying and filing documents.
  • Stand as a Key user of HRB and SAP Databases and provide the supporting functions as required.
  • Carry out periodical auditing of HRB and SAP data within the HRIS ensuring HR data is maintained correctly.
  • In-depth understanding of HRIS (HRB/SAP) work structure as per Provider manual and support implementing of any changes.
  • Stand as a Key Contact for members of staff in issues of payroll, time and attendance.
  • Manage the workflow to ensure that all payroll transactions are processed accurately and in timely manner.
  • Possess a thorough understanding of the importance of confidentiality and non-disclosure according to the general standards set by the company.
  • Maintain strict security in respect of personal information, both on computer and in personal files.

Key Skills/Qualifications:

  • 2-5 years experience in Human Resources department or/ and other structures related to payroll calculations.
  • Proven experience in Azerbaijan Labour Code.
  • Experience in organisation and planning.
  • Proven experience in HRIS (SAP/HRB etc.) and Microsoft Office.
  • Degree / Post Grad. Diploma / Recognised qualification related to the discipline..
  • Commitment to safe working practices, policies and legislation.
  • High level of verbal and written English/ Azerbaijani language.
  • Ability to work under pressure.
  • High degree of integrity, ability to work with sensitive data and maintain trust and confidentiality.
  • Ability to multitask, prioritise and meet all deadlines.
  • Flexible and positive attitude to change
  • Accuracy and attention to details.
